This statement concerns natural persons who submit an application for participation in trade fairs, conferences or other events, through the services provided by our company.

Who we are
The company Z Z EXHIBITION DATA SINGLE-PERSON IKE, with the distinctive title EVENTDATA, is headquartered at D. Hasioti 15, Maroussi – 15123, Tax Identification Number 800474987, Tax Office of Maroussi.
Our company is active in the provision of technical services for the reception and management of applications for participation in trade fairs, conferences or other events, acting as a Processor, within the meaning of Regulation (EU) 2016/679 (GDPR).

Our role as data Processor
EVENTDATA does not determine the purposes or means of processing. On the contrary, it acts on the basis of documented instructions from the respective Data Controller (event organizer), who bears overall responsibility for the processing of personal data.

What type of data do we process?
When providing our services, we may process, on behalf of the Data Controller, the following categories of personal data:
• Name and surname
• Contact details (email, telephone, address)
• Company name
• Physical Address
• Any other fields of the application, depending on the organizer's requirements.

For what purpose is the processing carried out?
The data is processed exclusively for the purpose of receiving, organizing and transmitting participation applications to the Data Controller (event organizer), in order to evaluate them and organize the participation of interested parties in the exhibition.

Data sharing
The data is shared exclusively with the Data Controller, i.e. the respective event organizer, and is not transmitted to any third parties.
Under strict conditions and only after the subjects' explicit consent, the data will be shared with third parties, such as exhibitors or sponsors and only to the extent required.
Consent is obtained through the scanning of the subject's Name Tag (either physical or electronic) by the exhibitor personel at his booth.

Security measures
Our company implements appropriate technical and organizational measures to protect data, including:
• Limited access to authorized personnel
• Encryption during transport
• Secure storage and access control
• Privacy and personnel compliance policies

Retention period
Data is retained for the strictly necessary period of time and only for as long as our agreement with the Data Controller specifies. After the end of the cooperation, the data is deleted or returned, in accordance with its instructions.

Rights of subjects
Natural persons retain all the rights provided for by the GDPR (e.g. access, rectification, erasure, objection, portability).
However, to exercise the above rights, please contact the Data Controller directly, i.e. the respective event organizer.
EVENTDATA does not make independent decisions regarding the processing, nor does it have any legitimate interest in using the data.

This statement applies to all processing services provided by our company on behalf of third-party Data Controllers. It does not apply to cases where EVENTDATA acts as a Data Controller for its own activities.
